# How Outsourced Billing Works With Your Therapy EMR

Understand how outsourced therapy billing fits your existing EMR, including access, payment posting, claim status, and responsibilities that stay in-house.

## Map the work, not just the software

Ask your prospective billing partner to walk through one encounter from completed documentation to payment. Identify where the claim is prepared, where it is submitted, where payer responses arrive, and where the balance is updated.

For each step, record the responsible person and system. A workflow diagram is useful only if it reflects what will happen on day one.

**Working in your existing EMR** can involve manual tasks, an integration, or a combination. Ask which steps are available now and which are planned. Do not treat a roadmap feature as part of the initial operating model.

## Agree where current information lives

An EMR, clearinghouse, payer portal, and billing workspace can show different stages of the same claim. Decide where your team will check current status and how discrepancies will be reconciled.

Confirm:

- Who receives and posts electronic or manual remittances?
- How are corrections in the EMR carried into the claim?
- Who checks whether a submission was received?
- Where are payer follow-up notes and next actions recorded?
- How will practice staff see work waiting on them?

Ask for a demonstration rather than assuming a dashboard answers each question.

## Keep practice handoffs explicit

Outsourcing does not remove the practice's role in completing clinical documentation or providing missing information. Eligibility, authorization, credentialing, and patient-balance tasks also need an explicit scope decision.

Specify how requests reach your staff, who responds, and how the biller confirms the requested change actually happened. A completed task label is not a substitute for checking the underlying record.

## Test the proposed setup

A useful decision test is: **If a payer requests records tomorrow, who retrieves them, who sends them, and who confirms the claim moves afterward?**

If the answer depends on an unbuilt integration or an unnamed person, resolve that gap before launch.

At Brace Health, discuss your actual EMR and billing responsibilities with our team before agreeing to a workflow. We will distinguish the proposed starting setup from planned automation so you can evaluate the service you are buying—not just the software you hope to have.
