Ask for a walkthrough of your actual workflow
Speech-language pathology billing can involve different services, documentation, and payer instructions across practices. Ask the vendor to explain how it handles the services and plans your clinic bills, what it needs from clinicians before claims can move, and how it verifies payer requirements when a question arises.
A credible walkthrough should cover more than initial submission. Ask how the team handles missing information, rejected claims, denials, payment posting, secondary claims where applicable, and follow-up on unresolved accounts. Find out what status the practice will see, who owns the next action, and how the vendor will tell you when it needs clinical or administrative input.
Compare the full scope
- Which services and payers has the vendor supported, and how does it keep its workflow current?
- Who owns intake, benefits checks, authorizations, credentialing, and clinical documentation?
- What happens when a claim is missing information or the payer’s response is unclear?
- How does the vendor prioritize open claims and communicate exceptions?
- What reports show claim status, payment posting, follow-up completed, and next steps?
- How are fees calculated, and which work is excluded or separately priced?
- How are system access, record handling, and transition of open claims managed?
Compare proposals using the same set of services, payer mix, and assumptions. Ask each vendor to show how a difficult exception moves through its workflow, while keeping other practices’ confidential information private.
Keep coverage claims specific
Do not assume that an eligibility response or a vendor’s familiarity with speech therapy guarantees coverage or payment for a particular service. Confirm plan-specific requirements with the payer and make sure the practice understands what remains its responsibility.
