How to Keep WebPT Cash-Pay Charges and Payments in Sync

In WebPT, a cash-pay service charge and the payment received for that service represent different records. A practice should document the service through its approved billing workflow, record actual payments against the correct patient and date of service, and reconcile the two before relying on a patient balance.

Keep the charge and the payment distinct

A common source of confusion in cash-pay workflows is treating the service charge and the money received as if they were the same entry. The charge describes what the practice billed for the visit or service. The payment records money actually received, even if it was collected through a separate card terminal, cash, or check process.

Both charges and payments must be represented for the practice to reconcile balances. A charge may be associated with a finalized visit note, while a payment taken outside the EMR still needs to be recorded in the correct patient and service-date context. A payment entry should reflect funds received—not an amount expected or a prepaid package balance that has not yet been applied.

Build a repeatable reconciliation check

  1. Confirm that the visit or service is documented and finalized through the practice’s approved workflow.
  2. Check that the charge reflects the service and the practice’s configured billing rules.
  3. Record only the payment actually received and connect it to the correct patient, case, and date of service.
  4. Reconcile the payment record against the external transaction or payment log.
  5. Investigate missing, duplicate, or zero-value entries before using the balance for a statement.
  6. Track prepaid packages separately according to the practice’s documented policy; do not treat a package purchase as a payment against a particular visit until it is applied correctly.

Treat custom codes as practice-specific

WebPT supports custom CPT descriptions and codes, but a code configured for one practice is not automatically appropriate for another. Practices should use their own approved code mappings, verify the applicable payer and service rules, and ensure the documentation supports what is billed. Do not copy another clinic’s custom codes or billing setup without review.

The workflow also depends on the practice’s payment and package policies. Define who enters charges, who records outside payments, how packages are applied, and how differences are investigated. A short daily or weekly reconciliation can help find missing records before they become confusing balances.

How Brace Health fits

Brace Health supports back-end billing and payment-posting workflows within the agreed service scope. Practices still need a reliable process for documenting services and communicating payments collected outside the billing workflow. The right EMR handoff makes the charge, actual payment, and remaining balance understandable without assuming that a recorded service means money was received.
